Privacy Policy

1. What data is collected

This website collects personal data in two ways: information you voluntarily submit through the contact form (your name, email address, and message), and, if you consent, analytics data collected automatically as you browse - such as the pages you visit, how long you spend on them, and general location and device information. Analytics data is collected only if you accept cookies via the banner shown on your first visit; it is not collected if you decline.

2. How your data is used

Information submitted through the contact form is used solely to respond to your enquiry - to understand what you're asking about and reply to you directly. It is not used for marketing, added to a mailing list, or shared with any third party for their own purposes. Analytics data, where consented to, is used only to understand how visitors use this website - such as which pages are most useful - so it can be improved over time. It is not used to identify you personally.

3. Legal basis for processing

Contact form data is processed on the basis of legitimate interest - specifically, Rootive's interest in responding to enquiries from people who have chosen to get in touch. Analytics cookies are processed on the basis of your consent, given via the cookie banner. You can withdraw consent at any time (see "Cookies" below), and can withdraw your enquiry or ask for contact data to be deleted at any time (see "Your rights" below).

4. Who processes your data

Contact form submissions are sent via email using Resend, a transactional email service. Resend processes the content of your message solely to deliver it to Rootive's inbox, and does not use it for any other purpose. Where you've consented to analytics, browsing data is processed by Google (via Google Analytics and Google Tag Manager) to generate usage reports; Google's own privacy policy governs how it handles this data. This website is hosted on Vercel, which may process technical data (such as IP address) as part of serving the website, in line with Vercel's own privacy policy. None of these services are used to build an advertising profile of you.

5. How long your data is kept

Enquiry emails are kept for as long as reasonably necessary to respond to and follow up on your enquiry, and are deleted or archived once that's no longer needed - typically within 12 months, unless you go on to become a client, in which case relevant correspondence may be kept for the duration of the working relationship and a reasonable period afterward for record-keeping purposes. Analytics data, where consented to, is retained by Google Analytics for 14 months from collection, after which it is automatically deleted.

6. Your rights

Under UK GDPR, you have the right to:

• Ask what personal data is held about you
• Ask for inaccurate data to be corrected
• Ask for your data to be deleted
• Object to how your data is being used
• Withdraw consent where consent is the basis for processing

To exercise any of these rights, email enquiries@rootive.co.uk. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk if you believe your data has been mishandled.

7. Cookies

This website uses Google Analytics, via Google Tag Manager, to understand how visitors use the site. These cookies are only set if you accept them via the banner shown on your first visit - they remain switched off by default, and no analytics cookies are set until you actively consent. You can decline when the banner appears, and your browsing will not be tracked. If you accept and later change your mind, you can clear cookies for this site in your browser settings to withdraw consent, or contact enquiries@rootive.co.uk. This website does not use cookies for advertising or marketing purposes.

This policy may be updated occasionally to reflect changes to the website or how data is handled. The "last updated" date at the top of this page reflects the most recent revision.
